Position: Customer Service Receptionist
Reports to: CRCA General Manager
JOB OVERVIEW: The Customer Service Receptionist (CSR) serves as the first point of contact for customers and is responsible for the effective management of the front desk area by providing exceptional customer service to visitors, staff and clientele who enter the office.
Required Skills and Qualifications:
- 1-2 years’ experience in a reception or customer service role
- Outstanding Customer service and interpersonal skills along with the ability to communicate effectively with members of staff, management, directors, and the public.
- Superior organizational skills
- Effective problem-solving skills
- Able to adapt to a fast paced, changing environment.
- Ability to prioritize and handle multiple tasks with a can-do attitude.
- Well versed in data entry procedures and practices.
- Computer program knowledge – MS Word, Outlook, Excel, WordPress, Active Net or similar facility bookings software an asset.
- Telephone switchboard experience an asset.
- Emergency or Standard first aid.
Duties & Responsibilities:
- Serve visitors by greeting, welcoming, screening, directing, and announcing them appropriately.
- Answer and forward any incoming phone calls using a professional and courteous manner, while providing basic information when needed.
- Diffuse customer complaints
- Retrieve the general delivery phone messages, record, distribute and/or reply to general information requests with accurate information on memberships, program registration, and online log-in set up.
- Receive, sort and distribute daily mail and deliveries.
- Update appointment calendars and schedule meetings in the office boardroom.
- Order, receive, and maintain office supplies.
- Process Memberships and Recreation Program registrations.
- Receive, record and/or track incoming payments and receipts. (Cash & POS Handling)
- Assist facility scheduler with bookings, hall rental inquiries, contract management and payments.
- Facilitate facility tours.
- Monitor public skate and shinny ice times to ensure safety of customers.
- Data Entry:
- Maintain memberships, registrations, and Access Database with accuracy.
- Assign and update locker rooms, as weekly schedules are received from teams.
- Enter and configure new programs into registration software.
- Monitor Catch corner and approve ice rentals – some evenings and weekends.
- Organize and maintain the office filing system.
- Mange, track and reconciliation of the office petty cash.
- Maintain office supplies and order as needed.
- Keep office area clean and organized, presenting an inviting atmosphere.
- Update user groups/staff contact and BOD info sheets as well as facility rental price lists and distribute updated copies as necessary.
- Make photocopies as needed and ensure the shredding of all documents with confidential information.
- Upkeep of the Community Bulletin Board(s).
- Safety program assistant – ensure monthly checklists are completed by each department. Create monthly safety talks.
- Attend and assist with CRCA community events as needed. (AGM, Energizer night etc.)
- Some evening and weekend shifts are required for special events.
- Perform other duties as required.
Hours
40hours/week. Generally, 9am-5pm Mon-Fri.
Compensation
$18-20/hour based on experience and qualifications.
