Privacy Policy
This Privacy Policy addresses the manner and procedures by which Chestermere Regional Community Association (“CRCA”) may collect, use, protect, and disclose personal information provided by employees and facility/program users. Personal Information in this context refers to information about an identifiable individual.
General
- We take the privacy of our employees and facility/program users seriously, and are committed to monitoring and administering our practices, procedures and security arrangements to minimize risk of unauthorized access, collection, use, disclosure, copying, modification, disposal and destruction of Personal Information.
- We are accountable for the Personal Information we collect and actively seek to manage our privacy obligations, including by:
- Development of this policy and other internal policies and practices related to the protection of Personal Information;
- Ensuring that employees and service providers comply with CRCA’s privacy policies and practices; and
- Responding to concerns or complaints relating to this Privacy Policy.
- Inquiries in respect of this policy or measures taken by CRCA to collect, use, protect and disclose Personal Information can be referred to our Privacy Officer as follows:

Collection and Use of Personal Information
- Prior to or at the time we collect Personal Information, we will identify the purpose(s) for which that information is being collected.
- We collect and use Personal Information solely with the objective of fulfilling those purposes and for other compatible purposes, unless we obtain the consent of the individual concerned or as required by law.
- The Personal Information we collect will be limited to what is reasonably required to fulfill the purposes for which it was collected.
- We may require individuals, to the extent necessary to fulfill such purposes, to periodically update their Personal Information to ensure that it is complete, up-to-date, and accurate.
- We may collect Personal Information in person, by telephone or electronically and may store that information in paper or electronic format until destroyed.
- We will only collect Personal Information by fair and lawful means and, where possible, with the knowledge or consent of the individual concerned.
Retention and Protection of Personal Information
- We retain Personal Information only as long as necessary for the fulfillment of the purpose for which it was collected, and ensure that it is destroyed thereafter.
- While we retain Personal Information, we employ reasonable security measures (both physical and digital) to protect it against loss or theft, unauthorized access, disclosure, copying, use, or modification.
- We take all necessary precautions to ensure that our collect, use, and retention of Personal Information takes place in accordance with the requirements of the Personal Information and Protection Act (Alberta) and Personal Information Protection and Electronic Documents Act (Canada).
Disclosure of Personal Information
- We treat the Personal Information we have collected as confidential and do not disclose it without notice to or consent of the individual in question, except in very limited circumstances permitted or required by law, including when disclosure is in the individual’s interest and consent cannot be obtained in a timely way.
- Individuals who have provided us with Personal Information may request access to that information at any time through the access to information processes provided by the Personal Information and Protection Act (Alberta) or through our Privacy Officer.
- We may seek to confirm the identity of a person requesting Personal Information. Any additional Personal Information collected in that process will be destroyed as soon as reasonably possible once that identity is confirmed.
